Marshals and stewards play a crucial role in the organisation of events. Without them, it would be hard to maintain car parking facilities, security and deal with any emergencies that arise.

We’ve tracked down some of the most important tips to consider when using stewards and marshals.

1. Don’t expect to be an expert on every aspect of the event. If you don’t know the answer, ask them to wait a few minutes while you find out.

2. Know where to go for answers. A rapid dial phone call to your boss will usually provide the answer you need.

3. When preparing for the event, make sure you ask all the relevant questions. Having detailed information available and familiarising yourself with all that is involved will help the event go smoothly.

4. Don’t try and do everything yourself. Delegate – that’s why stewards and marshals are on site. They can do much of the basic work like organising traffic and car parking without your active involvement.

5. Have a sense of humour. Be prepared to relax for a few minutes, enjoy some banter with other members of staff and with visitors. It creates good staff/customer relationships.

6. Be responsible and take the initiative when necessary. Things will go wrong even during the best organised event. It might be just a simple matter of unexpectedly heavy rainfall turning car parks into mud baths. Organise marshals quickly to spread hay over the worst affected areas. The last thing you want is for cars to get stuck and make it difficult for people to exit the car park.

7. Be organised throughout the event. Stay in contact with everyone. Don’t turn off your mobile phone. You might be needed in an emergency. Have lists of urgent contact numbers such as local garages or the phone numbers of St John Ambulance or Red Cross members on site immediately to hand. Being able to seek immediate specialist help will make a difference.

8. Keep promises. If you promise to get back to someone – make sure you fulfil that promise. It shows that you are reliable and trustworthy, a good leader and a helpful person.
